Berry College Privacy Policy

Berry College has created this privacy policy to demonstrate our firm commitment to your privacy and for you to better understand what data we collect, how we collect it and how it may be used by the college. This policy applies to any Berry College website, mobile application or service that links to it.

The college collects personal information you provide to us directly through online forms and correspondences or that you approve for third parties to share (e.g., Common Application) for support of a broad range of college operations – including but not limited to the processing of student, employee and alumni services.

Any email address, postal mailing address, phone number or other contact information you provide may be used to send you information and respond to inquiries or other requests. By using opt-out links provided or by contacting Berry directly, you can initiate removal from any or all of these communications.

In the case of individuals associated with Berry College (e.g., alumni, students), information that is submitted may also be used to update your current Berry data records. All forms will state the purpose for collecting your information and you always have the option to not provide it.

Berry College does not sell or rent personal information to outside entities. However, your data may be securely shared between internal college departments. Data stored by Berry College is not shared with outside agencies except as otherwise described in this policy.

In all situations, the college is vigilant in protecting your privacy and data.

Data Sharing with Third Party Service Providers

On occasion, Berry College contracts with outside service providers, including but not limited to SaaS software vendors and social media platforms (for creating custom audiences). As necessary, the college may share your personal data with the third party for completion of the services – and only for purposes directly related to college business. When this happens, the data is usable only as described in a contract defining the service agreement and must be destroyed or returned at the end of the contract. Before entering into such a contract, the college reviews vendor data security practices and seeks assurances that vendors comply with relevant industry best practices or governing standards and laws where appropriate.

Some services require an opt-in, such as SMS communications. Berry College will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies and any other vendor who assists us in the delivery of text messages.

We may also provide your information to third parties as required by law, or to detect, prevent or otherwise address fraud, security or technical issues. In addition, Berry may share aggregated data, after any personally identifiable information has been removed, for higher education research purposes.

Network Traffic and Website Activity

To monitor network security, maintain service consistency and improve services offered, Berry College uses software applications and/or services that monitor network traffic, identify security issues and detect unauthorized software such as viruses. These software tools may detect personally identifiable information such as e-mail headers, unencrypted passwords, etc., as they move across the network. In addition, website activity may be gathered with the use of cookies and pixels, as well as through a combination of Google Analytics, Salesforce Marketing Cloud Account Engagement and Silktide.

Information gathered includes:

  • Your IP address
  • Which pages you visited on the site
  • Which pages referred you to our site
  • Which campaign you interacted with or how you found us
  • Date and times of activities
  • Which software you used to visit our site and some specifications

Cookies are small files that are stored on your computer unless you block them. We use cookies to save preferences for future visits, customize content for specifically for you, maintain session data across Berry-owned websites and compile aggregate data about site traffic and interactions. If you choose, you may disable cookies through your individual browser options or choose to browse in incognito mode (deletes all cookies when your browser is closed). Disabling cookies could limit your access to certain areas of the website that need them to function. YOU control your cookies.

Tracking pixels send web-site interaction data and activity immediately to a third-party platform for reporting. This may include Google, Meta, Microsoft, TikTok, Snapchat, etc. and is most often used to understand marketing and advertising performance. You can manage what these platforms can collect about your online activity under the personal privacy and advertising settings within those platforms.

Some forms on our website may also be Salesforce Marketing Cloud Account Engagement enhanced to connect your website visit information and your personally identifiable information within Berry’s CRM software.

Your web session may be maintained across any Berry-owned website that includes berry.edu in the URL, as well as alwaysberry.com and berryvikings.com. Website activity may be collected during sessions and visits to all such sites.

As with most websites, we may provide resource links out to other non-Berry websites that are not controlled by the college, and we are not responsible for their availability, content, security or service. In addition, these sites may not conform to this Privacy Policy and may have their own unique standards and policies. In most cases, you can confirm you are leaving Berry College’s websites by noting whether the web address/URL of the destination page includes “berry.edu”, “alwaysberry.com” or “berryvikings.com” before you click. It is your responsibility to read and understand the standards and policies governing the use of all websites you visit.

How We Protect Your Data

Berry College employs a variety of technical and procedural measures to protect your information from misuse and unauthorized access. These measures include practices that limit access to your information to the fewest number of individuals who need that information for operational and strategic purposes. The college also implements a number of technology strategies such as firewalls, vulnerability management, log monitoring, data encryption, and other technical measures to safeguard your data from unauthorized access.
